Accounts Payable Assistant
Job Description:
OTJ is seeking an Accounts Payable Assistantto join our Finance team. This position will assist in playing a key role in ensuring timely and accurate invoicing while supporting the financial operations of a dynamic design-focused firm. This is an excellent opportunity for a detail-oriented professional looking to build their accounting career in a collaborative and fast-paced environment. This position is remote with the potential for a hybrid arrangement for candidates located in the DC, Maryland, Virginia area.
Verantwortlichkeiten:
- Processes vendor invoices accurately and timely in accordance with company policies and procedures
- Reviews invoices for proper coding, approvals, supporting documentation, and compliance with company requirements
- Enters and maintains accounts payable transactions in Deltek Vantagepoint
- Prepares weekly and monthly payment runs, including ACH's and wires
- Reconciles vendor statements and investigates discrepancies, outstanding balances, and payment issues
- Responds promptly and professionally to vendor inquiries regarding invoice status and payment processing
- Maintains accurate vendor records, including W-9 forms, payment terms, and banking information
- Coordinates with Project Managers, Studio Directors, and other departments to ensure invoices are properly approved and allocated
- Assists with month-end closing activities as assigned
- Supports the accounting team with ad hoc projects and process improvement initiatives
- Maintains confidentiality of financial information and company records
Qualifikationen:
- Associate's degree in Accounting, Finance, Business Administration, or a related field preferred
- 1-3 years of accounts payable or general accounting experience
- Experience within an Architecture, Design, Engineering, or Construction (A/E/C) environment preferred
- Experience with Deltek Vantagepoint preferred
- Proficiency in Microsoft Excel and other Microsoft Office applications
- Basic understanding of Generally Accepted Accounting Principles (GAAP)
- Strong written and verbal communication skills, with the ability to interact professionally with vendors and internal stakeholders
- Strong organizational and time management skills with the ability to manage multiple priorities and deadlines
- High attention to detail and commitment to producing accurate, high-quality work
- Strong problem-solving skills and ability to research and resolve discrepancies independently
- Flexible, dependable, and receptive to feedback
